We are currently seeking an Executive Assistant to the President & CEO. This role will also support the Vice-President, Human Resources. This is a full-time permanent position. The ideal individual for this role will have a strong work ethic, the ability to exercise sound judgment and problem-solving in a variety of fast-paced situations. The Ideal candidate must have strong written and verbal communication skills, and superior organizational skills.

You will have the ability to work independently and must be able to work under pressure, make decisions and handle confidential matters with discretion.


  • Be a champion of ARC’s culture and an ambassador of the CEO and the organization
  • Provide direct administrative support to the CEO, including scheduling, coordinating travel, special events, and liaising with other departments
  • Work closely and effectively with the CEO and to keep him well informed of upcoming commitments and responsibilities
  • Maintain schedules and calendars, including the coordination of meeting bookings and juggling schedules
  • Coordinate travel and meeting schedule for investors and other external meetings
  • Organize corporate events including Christmas Parties and annual summer celebration as well as extensive internal meetings, including Board/Committee Meetings
  • Develop relationships with the Leadership Team, other departments, and external service providers
  • Prioritize conflicting needs; handle matters expeditiously and proactively and follow-through on projects to successful completion and often with deadline pressures
  • Structure electronic filing systems for the CEO
  • Work on special projects and other tasks as assigned
  • Review documents, reports, and correspondence prepared for signature for format, content, and grammar, and make edits as necessary
  • Present a positive and professional image both internally and with external clients
  • Support Vice President Human Resources with direct administrative responsibilities and other projects
  • Board Support: 
  • Coordinate Board activities, including scheduling meetings and logistics, preparation of materials, and annual filing. As well as maintenance of the official record book and online board portal
  • Assist board members with travel arrangements, lodging, and access to systems and documents as needed
  • Maintain discretion and confidentiality in relationships with all board members
  • Provide technical and administrative support to board members when needed

Candidate Requirements: 

  • The individual we seek will ideally have previous experience supporting a senior leader or a professional group/team.  We are open to an MBA candidate with limited experience who is open to this career path. The successful candidate will possess the following key attributes:
  • Professional, responsive, proactive, and positive work attitude is essential.  Strong customer service orientation is a must
  • Demonstrate passion and high levels of energy to deliver results
  • Understanding of oil and gas industry would be beneficial.  Some fundamental business analysis is required
  • Strong technical aptitude to support the CEO with internal systems
  • Highly organized, resourceful, and a self-starter.  Ability to apply creativity in problem-solving
  • Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
  • High level of sound and independent judgment, reasoning, and discretion
  • Ability to interpret and implement company policies and procedures while understanding the parameters of flexibility
  • Previous experience in handling confidential or sensitive information
  • Able to maintain filing systems and basic databases - meticulous records maintenance skills
  • Excellent interpersonal and communication skills.  Ability to build strong relationships with employees at all levels of the organization
  • Strong computer skills including Microsoft SharePoint, Word, Excel, PowerPoint Visio; knowledge of systems such as Apple Products, and AFE Navigator an asset
  • Must be a team player who thrives in an honest, respectful, and open work culture
  • A strong work ethic, a clear sense of achievement, and a desire to learn
